Privacy policy
Last updated 24 October 2026
BuildTrack is a property development and construction delivery platform. This policy explains what personal information we collect on this website and in the platform, why, where it is kept and who can see it. We follow the Australian Privacy Principles.
What this website collects
When you send a form (a walkthrough request, a project health check request, a callback request or the admin cost summary) we collect what you type: your name, email address, phone number, company, role, the size of your business and your message. We also record the page the form was on and, where your browser sends them, the campaign tags in the address you arrived from. We do not store your IP address with your enquiry.
Your enquiry is kept in our customer system and sent to the two people who run BuildTrack by email and by message, so one of them can reply. We use it to answer you and, if you ask for one, to arrange a walkthrough. We do not add you to a mailing list because you sent a form.
Cookies and analytics on this website
The public pages set no cookies of their own. If you sign in to the platform, a session cookie keeps you signed in. We may add Google Analytics to the public pages to understand which pages are read; if we do, this policy will say so and name the cookie.
What the platform collects
A BuildTrack customer organisation stores its own project information in the platform: feasibilities, programs, transactions, documents, the people on its projects, and the contact details of the trades and suppliers it works with. The organisation controls that data; BuildTrack processes it to provide the service. Each organisation's data is separated from every other organisation's and that separation is tested on every release.
People who are not users can still be contacted by the platform on a customer's behalf: a trade receives a call forward by text message or email and can reply by text or through a link in the email, without an account. Those messages are kept so the customer has a record of what was sent and answered. A trade can stop texts by replying STOP and stop emails from the link in every email.
Who we share it with
We use service providers to run the platform: hosting and the database in Sydney, Australia (Vercel and Supabase), email delivery (Mailgun), text messaging (Cellcast), and, for reading the free-text replies trades send to call forwards, Anthropic's Claude. Only the reply text and the activity names it refers to are sent for that reading, never a contact's name or number. A customer that connects MYOB or Google Drive authorises BuildTrack to read and write the data it names, and can disconnect at any time. We do not sell personal information.
Security
Connections are encrypted. Sign-in uses a password and a second factor. Access inside an organisation is by role and per project. The database is backed up nightly and connections to it verify its certificate. Credentials for connected services are stored encrypted.
Keeping and deleting
An enquiry is kept while we are in contact and for up to two years afterwards. A customer's data is kept while the subscription is active and exported for the customer on request; after the subscription ends it is deleted on request or after a retention period we agree with the customer. Message logs are kept as the record of what was sent.
Your rights
You can ask what personal information we hold about you, ask us to correct it or ask us to delete it. Use the contact form on this site. If you are a trade or supplier contacted on behalf of a customer, the customer organisation controls your details in the platform and we will pass your request to them and help them act on it.
Changes
When this policy changes, the date at the top changes with it. Material changes are noted on this page.
